Full-Time Administrative Professional (Edmonton Office)

Adoption Options Alberta Ltd. is a non-profit, licensed adoption agency and registered charity committed to supporting birth parents, adoptive families, and children with care, compassion, and integrity. Since 1984, we have helped build over 2,000 families across Alberta through our inclusive, child-focused approach.

Purpose of the Role:
We believe that the first point of contact with our agency is incredibly special and essential. As the welcoming face and voice of Adoption Options, you will create the first impression for individuals reaching out—whether in person, by phone, or online. This full-time Administrative role supports the Edmonton office and the agency as a whole, ensuring smooth daily operations and assisting our dedicated social work team.

Key Responsibilities:

  • Greet and assist callers and walk-in clients with professionalism and empathy
  • Manage incoming phone calls, emails, mail, and courier services
  • Provide clerical support including copying, typing, and file preparation/maintenance
  • Maintain organized and accurate office systems and records
  • Support regulatory compliance through preparation and filing of adoption-related court documents
  • Assist with agency website updates and social media content
  • Coordinate office supplies and ensure spending aligns with budget guidelines
  • Track team appointments and schedules
  • Contribute to the planning and execution of agency events
  • Treat everyone interacting with the agency with kindness, respect, and confidentiality

Qualifications and Skills:

  • Minimum one year of general office experience
  • Familiarity with not-for-profit office operations is an asset
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams)
  • Experience with QuickBooks and basic accounting tasks
  • Comfort working with website platforms and updating content
  • Strong attention to detail and organizational skills
  • Ability to work both independently and as part of a team
  • Demonstrates sound judgment, reliability, and a family-oriented approach
  • Commitment to confidentiality and sensitivity to the nature of our work
  • A collaborative mindset and dedication to supporting a healthy, inclusive team environment
  • Understanding of registered charities and tax receipts
